Apartment Manager Privacy Policy

This Privacy Policy explains how Apartment Manager handles apartment, booking, guest, payment, pricing, expense, calendar, contact, speech, export, iCloud, and AI-credit data.

Short version: Apartment Manager is designed as a local-first app. Your apartment data is stored on your device and, when iCloud is enabled for your Apple ID, synced through your private Apple iCloud account. If you use the Chat feature after giving consent, the text you enter and relevant app data may be sent to Google Gemini to generate an answer. You can withdraw Google Gemini AI consent in Settings.

2. Data Stored on Your Device

Apartment Manager stores the data you enter in the app on your device using Apple's local app storage technologies, including Core Data and UserDefaults. This can include:

3. iCloud, CloudKit, and iCloud Key-Value Storage

If you are signed in to iCloud and iCloud is enabled for the app, Apartment Manager syncs app data through Apple's private CloudKit database and iCloud key-value storage. This lets you restore data after reinstalling the app and use the same data on another device signed in with the same Apple ID.

iCloud-synced data can include apartments, bookings, pricing periods, costs, backup manifest counts, voucher settings, app settings, Google Gemini AI consent, processed in-app purchase transaction markers, and AI credit balance.

DCApps does not operate the private CloudKit account. iCloud data is handled by Apple under your Apple ID and Apple's iCloud terms and privacy policy.

4. Google Gemini AI

The Chat feature uses Google Gemini cloud AI. Before Apartment Manager sends data to Google Gemini for the first time, the app asks for your permission. If you choose "Not now", no AI request is sent. If you choose "Continue", Apartment Manager remembers your choice. You can withdraw consent later in Settings by turning off "Allow Google Gemini AI".

When you use Chat after giving consent, Apartment Manager may send the following to Google Gemini:

Google Gemini processes this information to return an AI-generated answer or structured instruction to the app. DCApps uses Gemini token usage metadata to calculate AI credit consumption. Do not enter sensitive information in Chat unless you are comfortable sending it to Google Gemini for processing.

5. AI Credits and In-App Purchases

Apartment Manager uses Apple StoreKit for consumable AI credit purchases. Purchase processing is handled by Apple. The app stores verified transaction identifiers to avoid granting the same credit purchase more than once. The app stores and syncs your AI credit balance through local storage and iCloud key-value storage so the balance can restore on another device using the same Apple ID.

Apartment Manager may grant a small initial free AI credit on first install. AI credits are reduced after a successful Google Gemini response based on token usage and the app's pricing multiplier.

6. Contacts

If you choose to use the contact lookup feature, Apartment Manager requests access to Contacts so it can help fill missing guest phone numbers or email addresses. Contact data is read on your device for this purpose. The selected or matched phone number or email may be saved into the relevant guest or booking record if you choose to use it.

7. Microphone and Speech Recognition

If you use dictation in Chat, Apartment Manager requests microphone access. Speech recognition converts your voice into text for the chat input. The resulting text is treated like typed chat text. If Google Gemini AI consent is enabled and you send the message, that text may be sent to Google Gemini.

8. Calendar Links and Hosted .ics Publishing

Apartment Manager can store calendar links that you paste from booking platforms such as Booking.com, Airbnb, Expedia, or similar services. The app may fetch those links to display or sync booking availability.

If you enable app-generated calendar publishing, Apartment Manager may upload apartment calendar data to a DCApps server so booking platforms can fetch a public .ics calendar URL. These .ics files do not contain any sensitive data or guest names; they only contain the dates for which an apartment is booked. A public .ics URL can be read by anyone who has the link, so only enable publishing if you understand that booking availability data may be accessible through that URL.

9. DCApps API-Key Server

Apartment Manager may contact a DCApps server to fetch the current Google Gemini API key used by the app. This lets DCApps rotate the key without requiring a new app release. The app does not need to send your apartment database to this key server to fetch the key.

10. CSV Exports and Voucher PDF Exports

Apartment Manager lets you export reservation data as CSV files and generate/share voucher PDFs. These files are created on your device. Once you share or save an export outside Apartment Manager, that copy is controlled by the destination you choose, such as Files, Mail, Messages, another app, or another person.

12. Retention

Data stored in Apartment Manager remains on your device until you delete it in the app, delete the app, or erase the device. Data synced through iCloud remains in your Apple iCloud account according to Apple's iCloud behavior and your account settings. Data shared with Google Gemini, Apple, booking platforms, or other third parties is handled under those providers' policies.

Hosted .ics calendar data, if enabled, remains available while the hosted calendar publishing feature is active. Contact DCApps if you need help removing a hosted calendar URL.

Apartment Manager is intended for apartment owners and managers. It is not intended for children.

15. Changes to This Policy

We may update this Privacy Policy when the app changes or legal requirements change. The updated policy will be posted on this page with a new "Last updated" date.
